1. Overview
This policy applies to all tour packages, hotel bookings, transport arrangements, and other travel services booked through Green Tour Holidays.
- All cancellations must be made in writing (email is preferred).
- The cancellation date is the date we receive your written notice — not the date you decide to cancel.
- Cancellation charges are calculated on the total package cost, not on the deposit alone.
- Refunds are subject to the terms of our suppliers (hotels, airlines, transport providers), which may be stricter than our standard policy.
2. How to Cancel
To cancel your booking, please follow these steps:
Confirm Receipt
We will acknowledge your cancellation within 24–48 hours.
Calculation
We calculate applicable charges based on the date received.
Refund
Approved refunds are processed within 15–30 business days.
3. Standard Cancellation Policy
The following charges apply for cancellations of standard tour packages (unless otherwise stated at the time of booking):

Note: The "deposit" is non-refundable under all circumstances, as it is used to secure hotels, transport, and other supplier commitments.
4. Peak Season & Special Tours
During peak seasons and for special tours, stricter cancellation policies may apply. These include:
- Peak Seasons: Christmas, New Year, Onam, Diwali, Pongal, and school holidays.
- Special Tours: Honeymoon packages, houseboat stays, luxury resorts, and customized itineraries.
- Group Tours: Fixed-departure group tours with pre-booked seats.
Always check your booking confirmation for any special cancellation terms that may override the standard policy.
5. Non-Refundable Items
The following items are non-refundable under any circumstances:
- Booking deposits (used to secure supplier commitments).
- Airline tickets, train tickets, and bus tickets (subject to the carrier's own policy).
- Visa fees and processing charges.
- Travel insurance premiums.
- Third-party service fees (e.g., payment gateway charges, bank transfer fees).
- Any services already used or partially used.
- Optional activities and excursions booked on your behalf.
Where possible, we will assist you in claiming refunds directly from airlines or other suppliers, but we cannot guarantee any amount.
6. Refund Processing
Once your cancellation is approved, refunds are processed as follows:
- Processing Time: 15–30 business days from the date of cancellation confirmation.
- Method: Refunds are made via the original payment method where possible (bank transfer, card reversal, UPI).
- Currency: Refunds are processed in the same currency as the original payment.
- Bank Charges: Any transaction fees, currency conversion charges, or bank commissions are deducted from the refund amount.
- Documentation: You may be asked to provide additional documents (e.g., bank details, ID proof) to process the refund.
7. No-Show & Early Departure
- No-Show: If you fail to arrive at the designated departure point or hotel on the scheduled date, it will be treated as a no-show, and no refund will be provided.
- Early Departure: If you leave a tour early for any reason, no refund will be given for unused services, including accommodation, meals, transport, or activities.
- Missed Connections: We are not liable for missed flights, trains, or other connections due to your delay.
8. Cancellation by Us
In rare cases, we may need to cancel a tour due to:
- Insufficient number of participants (for group tours).
- Supplier issues (hotel closure, transport breakdown).
- Safety concerns, weather conditions, or government restrictions.
If we cancel your tour, you will be offered:
- Option 1: A full refund of all amounts paid to us.
- Option 2: An alternative tour of comparable standard (subject to availability).
We will notify you as soon as possible and assist with alternative arrangements. Our liability is limited to the amount paid to us.
9. Force Majeure
We are not liable for cancellations or changes caused by events beyond our reasonable control, including but not limited to:
- Natural disasters (floods, earthquakes, landslides, cyclones).
- Pandemics, epidemics, or health emergencies.
- War, terrorism, civil unrest, strikes, or riots.
- Government restrictions, border closures, or travel advisories.
- Airline cancellations, technical failures, or supplier insolvency.
In such cases, we will work with our suppliers to minimize your losses, but refunds will be subject to what we can recover from them. We strongly recommend comprehensive travel insurance for such situations.
10. Travel Insurance
We strongly recommend that all travellers purchase comprehensive travel insurance that covers:
- Trip cancellation and interruption.
- Medical emergencies and evacuation.
- Loss of baggage, passports, and personal belongings.
- Travel delays and missed connections.
Travel insurance can protect you from financial loss in case of unforeseen cancellations. It is not included in our packages unless explicitly stated.
